Collection of Your Personal Information
Gain-Op collects personally identifiable information, such as your email address, name, company name, phone number, or business address. Gain-Op also collects anonymous demographic information, which is not unique to you, such as your postal code, industry type, company size, and role preferences.
There is also information about your computer hardware and software that is automatically collected by Gain-Op. This information can include your IP address, browser type, domain names, access times, and referring website addresses. This information is used by Gain-Op for the operation of the service, to maintain the quality of the service, and to provide general statistics regarding use of the Gain-Op platform.
When you use the Gain-Op platform for your business operations, you may input business data including but not limited to: customer and lead contact information, project details, quotes and estimates, invoices and payment records, employee time tracking data, material pricing, and scheduling information. This business data is stored securely and is only accessible to authorized users within your company account.
Please keep in mind that if you directly disclose personally identifiable information or personally sensitive data through Gain-Op public communication features, this information may be collected and used by others. Gain-Op does not read any of your private online communications.
Use of Your Personal Information
Gain-Op collects and uses your personal information to operate the Gain-Op platform and deliver the services you have requested. Gain-Op also uses your personally identifiable information to inform you of other products or services available from Gain-Op. Gain-Op may also contact you via surveys to conduct research about your opinion of current services or of potential new services that may be offered.
Gain-Op does not sell, rent, or lease its customer lists to third parties. Gain-Op may, from time to time, contact you on behalf of external business partners about a particular offering that may be of interest to you. In those cases, your unique personally identifiable information (email, name, address, telephone number) is not transferred to the third party. In addition, Gain-Op may share data with trusted partners to help us perform statistical analysis, send you email or postal mail, provide customer support, or arrange for deliveries. All such third parties are prohibited from using your personal information except to provide these services to Gain-Op, and they are required to maintain the confidentiality of your information.

Gain-Op keeps track of the pages and features our customers use within the Gain-Op platform, in order to determine what Gain-Op services are the most popular. This data is used to deliver customized content and improvements within the Gain-Op platform to customers whose behaviour indicates that they are interested in a particular subject area. This data will not be retained longer than required to continue to provide the services described above.
Gain-Op will disclose your personal information, without notice, only if required to do so by law or in the good-faith belief that such action is necessary to: (a) conform to the edicts of the law or comply with legal process served on Gain-Op or the platform; (b) protect and defend the rights or property of Gain-Op; and (c) act under exigent circumstances to protect the personal safety of users of Gain-Op, or the public.
Your Business Data
Gain-Op is a multi-tenant platform. Your business data — including leads, quotes, invoices, financial records, employee information, and project details — is completely isolated from other companies using the platform. No other tenant can access, view, or modify your data.
You retain full ownership of all business data you input into the Gain-Op platform. We do not sell, share, or use your business data for any purpose other than providing the services you have requested. Upon termination of your account, you may request an export of your data within 30 days.
Third-Party Service Providers
Gain-Op uses trusted third-party service providers to deliver the platform. These providers process data only as directed by Gain-Op and are contractually obligated to maintain the confidentiality and security of your information. Our service providers include:
- Hosting & Infrastructure: Vercel (application hosting), Neon (PostgreSQL database), Cloudflare (CDN and file storage)
- Payment Processing: Stripe (subscription billing) and Square (customer payment links)
- Email Delivery: Resend (transactional and notification emails)
- Error Monitoring: Sentry (application error tracking and performance monitoring)
Security of Your Personal Information
Gain-Op secures your personal information from unauthorized access, use, or disclosure. Gain-Op secures the personally identifiable information you provide on computer servers in a controlled, secure environment, protected from unauthorized access, use, or disclosure.
We implement industry-standard security measures including role-based access controls, encrypted data transmission (TLS/SSL), session management with automatic timeouts, and regular security monitoring. When personal information (such as a credit card number) is transmitted to other websites, it is protected through the use of encryption, such as the Secure Socket Layer (SSL) protocol.
While we take reasonable measures to protect your data, no method of electronic storage or transmission is 100% secure. We cannot guarantee absolute security.
Use of Cookies
The Gain-Op platform uses “cookies” to help you personalize your online experience. A cookie is a text file that is placed on your hard disk by a web page server. Cookies cannot be used to run programs or deliver viruses to your computer. Cookies are uniquely assigned to you, and can only be read by a web server in the domain that issued the cookie to you.
One of the primary purposes of cookies is to provide a convenience feature to save you time. The purpose of a cookie is to tell the web server that you have returned to a specific page. For example, if you log in to the Gain-Op platform, a cookie helps Gain-Op recall your specific information on subsequent visits. This simplifies the process of recording your personal information, such as business settings, preferences, and so on. When you return to the same Gain-Op page, the information you previously provided can be retrieved, so you can easily use the Gain-Op features that you customized.
You have the ability to accept or decline cookies. Most web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies if you prefer. Data Retention
We retain your personal and business data for as long as your account is active or as needed to provide you services. Upon account deletion, we will delete or anonymize your data within 30 days, except where retention is required by law (e.g., financial records for tax purposes). Backups may retain data for up to 90 days after deletion.
International Data Transfers
Your data may be processed on servers located outside of Canada (currently in the United States). We ensure appropriate safeguards are in place per PIPEDA requirements to protect your information regardless of where it is processed.
Children's Privacy
The Gain-Op platform is a business-to-business service intended for use by contractors and their employees. It is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from minors.
Changes to This Statement
Gain-Op will occasionally update this Statement of Privacy to reflect company and customer feedback, as well as changes in applicable privacy laws. We will notify you of material changes via email or in-app notification at least 30 days before the changes take effect.
